Crewman & Foreman Documentation
Rule Set — Read This First
Visibility depends on your role.
- • Apprentice / Top-Hand: you see only your own job for the selected day.
- • Foreman & Warehouse: you see EVERY site in both SoCal and Las Vegas for the selected day.
- • Staff & Admin: full history across both markets in Schedule Builder and Reports.
Acknowledgements gate the rest of the app on every scheduled day.
- • Each scheduled day requires 4 acks: Announcement, Safety, Lessons, Documents.
- • Off / PTO / HOL / ELR / LOA days are skipped — mark them on the Schedule screen.
- • Backlog from missed days appears when you return; clear it to unlock Schedule, Toolbox, and Contacts.
If you are not working a scheduled day, mark it.
- • Open Schedule → 'Mark as OFF / PTO / HOL / ELR / LOA' if there's no job for you.
- • This stops acknowledgements from piling up while you're out.
Foremen, Warehouse leads, Staff, and Admins.
- • Up to 5 managers can build schedules in parallel for their own crews (4–8 crews each).
- • When you open the assignment dialog, anyone already booked on another job that day shows in orange with 'Booked on another job' so you don't double-book.
There isn't one — saving a job IS publishing it.
- • The moment you tap 'Save job', that job is live for the assigned crew.
- • Daily Briefing is the only screen with an explicit Publish button (because publishing it triggers acknowledgements).
- • If you completed the 5-step setup and saved each job, you're done — no extra step required.
Reset your own password from the Profile screen.
- • Profile → 'Change password' (current + new) or 'Send reset link' to your email.
- • Demo password X3Demo!2026 must be changed on first sign-in.
Getting Started
Use the credentials your administrator gave you to access the app.
- 1Open the appLaunch X3 Communications on your phone or browser. The Sign In screen loads first.
- 2Enter your usernameType the username assigned to you (usually first initial + last name). Not case-sensitive.
- 3Enter your passwordType your password exactly as given. The eye icon shows/hides what you typed.
- 4Tap Sign InIf your credentials are correct you'll land on the Home screen. If not, double-check spelling and try again.
- • Forgot your password? Contact a staff member or admin — only they can reset it.
- • If the app says 'Inactive user', your account has been deactivated. Ask an admin to reactivate.
The home screen is your launch pad to every area you have access to.
- 1Top barShows your initials (top right) and a Help icon (?). Tap your initials to sign out, tap ? to return here.
- 2Main tilesSchedule, Toolbox, Directory, and Acknowledgements. Tiles you don't have access to are hidden.
- 3Pending bannerIf you have unread acknowledgements, a banner at the top blocks Schedule/Toolbox until you complete them.
Sign out from the header to protect your account on shared devices.
- 1Find your initialsTop right corner of every page shows a circle with your initials.
- 2Tap the log-out iconRight next to your initials. You'll be returned to the Sign In screen.
Acknowledgements
Crewmen must confirm they've read safety, briefing, and policy documents before continuing.
- • Acknowledgements are tracked per person — staff can see exactly who has and hasn't read each item.
- • Re-published documents reset your acknowledgement, so you may see a familiar item appear again.
Open each pending item, read the content, then confirm.
- 1Open AcknowledgementsFrom the Home screen, tap the Acknowledgements tile (or the red banner at the top).
- 2Tap a pending itemItems with the orange ACK button still need your attention.
- 3Read the full contentScroll all the way to the bottom — the Acknowledge button only enables once you've reached the end.
- 4Tap AcknowledgeYou may be asked to type your name to confirm. Submit, and the item disappears from your queue.
No. Pending items block Schedule, Toolbox, and Directory until completed.
- • If something looks wrong (e.g., blank document), contact your foreman before acknowledging.
Schedule
View today's job, your crew, the location, and notes from your foreman.
- 1Tap Schedule on HomeOr use the bottom navigation if visible on your device.
- 2Review the job cardJob number, location, foreman, start time, and crew list are shown at the top.
- 3Read the notes sectionSpecial instructions, equipment, or permits required appear in orange-highlighted notes.
- 4Switch datesUse the ◀ Yesterday and Today ▶ buttons at the bottom to flip between days.
Crewmen see today and one day prior. Staff and admins see full history.
- • If you need an older schedule for payroll or records, ask a staff member to look it up in Reports.
- • The date picker greys out dates you can't access.
Reach out to your foreman or staff lead first — Directory has their contact info.
- 1Open DirectoryFrom the Home screen.
- 2Filter to StaffTap the Staff toggle at the top.
- 3Tap a phone numberIt opens your phone's dialer. Tap an email to send a message.
Toolbox & Documents
Safety bulletins, SOPs, training PDFs — anything staff has published for the crew.
- 1Open Toolbox from HomeDocuments are grouped into categories.
- 2Tap a categoryExpands to show the documents inside.
- 3Tap a documentOpens the PDF in your browser or downloads it for offline reading.
Yes — every document opens in a viewer with a download option.
- • Downloads stay on your phone until you delete them. Useful for jobs without signal.
Directory
Search or filter the directory; names are sorted Last, First.
- 1Open DirectoryFrom the Home screen.
- 2Type a last nameThe list filters as you type. Partial matches work.
- 3Use the role togglesFilter by Crewman or Staff to narrow the list.
- 4Tap a contact methodTap the phone number to call, or the email to send a message.
No. Contact a staff member or admin to update your details.
Daily Briefing
It appears in your Acknowledgements queue and is archived for staff under Reports.
- 1Look at the Home bannerA new briefing shows up as a pending acknowledgement at the top.
- 2Tap to readScroll through the body and any attached documents.
- 3AcknowledgeOnce you've read it, tap Acknowledge to clear it from your queue.
Yes. Daily briefings are company-wide and identical for SoCal and Vegas.
